CCAD's Student Records Department is seeking a professional who enjoys fast-paced roles, can work independently with little supervision, is a critical thinker, and has the ability to multi-task to fill this role. The Student Records staff is a highly collaborative and cohesive team, providing a wide range of high-quality services for our faculty, staff, and students. This role is crucial to keep our procedures and processes running smoothly

SUMMARY Reporting to the Registrar, the Student Services Associate will serve in a multi-purpose role supporting the office of Student Records, Financial Aid and the Bursar by assisting with administrative, clerical and scheduling needs. The SSA will participate in general office operations, assist students with various needs and facilitate effective communication between all departments of the college. The SSA will also be involved with Student Records and Financial Aid projects as assigned.


ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

Customer Service

Provide all facets of general customer service coverage, including:

  • Assist in supporting student success and retention efforts

  • Respond to office related phone calls, email and texts

  • Assistance in developing and communicating academic degree plans

  • Prepare and deliver communication materials

  • Assist the Registrar, Financial Aid and Bursar Office as needed

  • Assess and assist with problems, concerns or situations with students and parents as needed, referring more complex issues to the appropriate Registrar, Financial Aid and Bursar staff

  • Provide Student Services related information to students


Student Records

Maintains student records as necessary, including:

  • Assist with degree requirement audits

  • Assist with grade entry, class rosters, student reviews, mid-term grade audits, distribution of reports, major/minor changes

  • Assist with graduation processing, including audits & verification, as well as commencement coordination

  • Assist with collection of documents and maintenance of electronic files

  • Data entry and processing of administrative forms

  • Process rosters and distribute as needed

  • Process HECC and Transient students

  • Process official and unofficial student grade transcript requests

  • Process student enrollment verifications and address verifications

  • Process transfer credit and assist with evaluation of credit

  • Assist in registration process and data entry into SCT PowerCampus

  • Assist with updating the web



Financial Aid and Bursar

  • Counsel students on making arrangements to pay and completing promissory notes & financial extensions

  • Prepare labels or merges from database information for mailings and assist with mailing of bills and returned mail

  • Assist students with Veteran Benefits

  • Answer general questions regarding financial aid and financial aid application process, including FASFA and loans.

  • Run periodic data clean-up reports to provide student data integrity

  • Communicates with customer service dept. of student health insurance agency to aid students in filing claims for their health care

  • Posting misc. charges to students accounts as directed

  • Provide assistance to students and families in completing the necessary paperwork to make payment arrangements on outstanding account balances

  • Other duties may be assigned. May also cover duties of other staff members as needed

  • This position may require the need to be available to occasionally work evenings or weekends

  • Proficiency in, Word, Excel, PowerPoint, Access, Google Suite (GMail, Docs, Drive, Calendar, etc.) and Familiarity

with Ellucian PowerCampus preferred

  • Ability to adapt in a fast paced environment

  • Demonstrated ability to coordinate multiple working tasks

  • Ability to manage difficult situations regarding students and/or parents

  • Ability to coordinate multiple projects simultaneously, and efficiently take direction

  • Experience with data entry

EDUCATION and/or EXPERIENCE

  • Associate's degree (A. A.) or equivalent from two-year college or technical school required, bachelor degree preferred; 3-5 years of related experience and/or training; or equivalent combination of education and experience preferred

  • Exposure or work experience in higher education preferred

  • Prior experience working in a Financial Aid, Bursar, Accounting, and/or Registrar environment is a plus

COMPENSATION: This position is full-time, non-exempt. Compensation is commensurate on experience and qualifications. CCAD offers a benefits package including: vacation time, additional paid time off while the college is closed during winter break, sick time accrual, health and dental insurance, life and disability insurance, 403B retirement contribution, tuition remission, campus parking, and free admission to the Columbus Museum of Art.
