SUMMARY


The CCAD Registrar will be a forward thinker that is at the center of several key organizational functions, utilizing their experience and ability to leverage technology in an effort to serve both students, faculty and staff. The Registrar will modernize the Student Records Office procedures and influence new policies.


Always prioritizing service to students, the Registrar will ensure that academic/data integrity is maintained. They will oversee the full operations of the Office of Student Records and manage one Records Office employee plus at least one student worker. The Registrar will provide insight to the Provost and ensure accurate generation of the class schedule, course catalog, academic plans and degree conferral. The Registrar will also provide insight and analysis of student data to Senior Leadership regarding student enrollment. This person will serve as the primary point of contact and processor for students using VA benefits. They will be expected to fully utilize available technology to provide relevant data to various decision-makers around campus.


ESSENTIAL DUTIES AND RESPONSIBILITIES include but not limited to the following. Other duties may be assigned.


  • Proactively provides data reporting and analysis regarding enrollment trends
  • Lead a Records Office that provides excellent service, manages efficient use of resources and reflects industry best practices in records management and the effective use of technology
  • Ensure compliance with all federal and state requirements for records and reporting
  • Provide expertise on FERPA and data integrity as it pertains to student records
  • Collaborate with other offices and stakeholders on policy development and adaptation, procedural changes, course transfer credit, preparation for commencement, survey completion and student support in regards to registration, financial aid and billing.
  • Continuously improves the Student Records Office's processes, procedures and implementation of technology
  • Support academic-related administrative functions, as appropriate
  • Promote partnerships with other colleges to develop collaborative programming
  • Curious; driven to seek solutions or improvements by thinking out of the box
  • Comfortable with technology, both old and new; this includes third party systems such as Parchment and the National Student Clearinghouse but also internal SIS programs (currently PowerCampus)
  • Able to see the "big picture" but also effectively manage that details and steps needed to accomplish departmental, divisional and college-wide goals
  • Collaborative and eager to work with a wide variety of faculty, staff and administration



SUPERVISORY RESPONSIBILITIES


  • Hires, trains, supervises and evaluates performance of one Records Office employee and one student worker
  • Ensures any employee performance issues are addressed and resolved in a timely manner
  • Ensures awareness of any regulatory or industry changes and ensures appropriate training for self and staff
  • Maintains awareness and understanding of all processes and activities performed by staff
  • Understands that while work may be delegated to staff, the Registrar is the ultimate person responsible for activities in the department

QUALIFICATIONS

  • Knowledge of Google suite, Microsoft Access, Excel and Windows operating systems is required
  • Experience in Ellucian PowerCampus is preferred
  • Excellent written and verbal communication skills
  • Evidence of strong organizational abilities, time management and attention to detail
  • Ability to organize and manage multiple duties simultaneously

EDUCATION and/or EXPERIENCE


  • Bachelor's Degree is required. Master's Degree or equivalent or a graduate degree in process preferred.
  • Four to ten years related experience and/or training in Higher Education Administration; or equivalent combination of education and experience required.




COMPENSATION: This position is full-time, exempt. Compensation is commensurate on experience and qualifications. CCAD offers a benefits package including: vacation time, additional paid time off while the college is closed during winter break, sick time accrual, health and dental insurance, life and disability insurance, 403B retirement contribution, tuition remission, campus parking, and free admission to the Columbus Museum of Art.
