Columbus College of Art & Design seeks a motivated and skilled leader to be the college's next Director of Facilities. Reporting to the Associate Vice President for Operations, the Director of Facilities will establish and direct the long-term goals, policies, and procedures for CCAD's Facilities department and will be responsible for directing, planning, administering, coordinating, and controlling college facilities operations.

 

Essential Functions

  • Responsible for the management of all existing college facilities, preventive, corrective, and deferred maintenance, utilities, and the vehicle fleet.
  • Monitors department, utility, and project budgets, as well as manages all aspects of local projects.
  • Under the direction of the Associate Vice President for Operations, assists with the coordination of campus planning efforts.
  • Accomplishes project planning and work analysis. Develops and finalizes details of requirements and determines the most feasible methods and procedures to accomplish project requirements including whether work is to be performed by contractor or in-house forces, the bidding process, and construction administration involving the selection of delivery method.
  • Communicates the scope of facilities maintenance work, coordinates timelines for completion of work and conducts follow-up with stakeholders.
  • Performs inspections and condition assessments on a regularly scheduled or on an ad-hoc basis. Identifies deficiencies and takes corrective action.
  • Reviews and approves all facilities related invoices, develops and controls budgets within area of responsibility, develops reorganization and cost-recovery plans.
  • Responsible for budget controls and approves expenditures within authority limits. Maintains accurate budget records; adheres to purchasing processes and policies.
  • Manages inventory of equipment, tools, parts and materials for efficient work processes.
  • Ensures the maintenance all required logs and files including, but not limited to, work orders, purchases, facilities maintenance projects, and inventory.
  • Responsible for the activities, conduct, direction, supervision, scheduling, motivation, review, evaluation, and any required disciplinary actions of a diverse workforce. Supervises approximately eight college staff as well as a team of contractors and third-party staff.
  • Recommends personnel decisions including: hiring, firing, promotions, job assignments, disciplinary action, staffing needs, and compensation levels for regular staff as well as casual/temporary staff. Provides written documentation as needed.
  • Conducts performance evaluations for review and completion. Meets and proactively engages with facilities team regularly to maintain a high level of employee engagement and discuss performance.
  • Develops and implements a robust quality and training program for the facilities department. Provides frequent communication to facilities team members regarding procedures, equipment, regulations, etc.
  • Schedules and coordinates training programs as necessary to ensure adherence to applicable health and safety regulations, as well as helping the facilities team stay current in their field.
  • Provides technical and supervisory skills associated with fire and life safety issues of systems to protect damages to buildings and building systems.
  • Serves as part of the college's emergency response team; responds to concerns and emergencies including, but not limited to, floods, structural, mechanical and electrical systems including safety systems such as fire and smoke alarms, elevators and emergency generators to ensure safe and efficient operations.
  • Represents the college in meetings with external agencies as required and performs other related duties as assigned.
  • Other duties as assigned.

 

Qualifications

  • Bachelor's degree in Business Administration, Management, Architecture, Engineering, or related field; or training and experience equivalency.
  • Minimum of five years of progressively responsible management experience.
  • Thorough knowledge of facilities management, personnel management, human relations and commitment to quality service, staff development, diversity, and safety.
  • Strong leadership, organizational, decision making, and management skills.
  • Strong critical thinking, analytical, problem solving, and negotiating skills
  • Demonstrated strong interpersonal skills in building and maintaining levels of trust, mutual respect, and collegiality.
  • Demonstrated commitment to collaboration; experience building strong collaborative relationships with partners outside of IT.
  • Experience in higher education or construction or design/planning preferred.
  • Demonstrated knowledge of basic principles of construction and maintenance.
  • Demonstrated knowledge of preventive maintenance methods.
  • Demonstrated knowledge of Environmental Health & Safety regulations.
  • Proven experience leading a team including ability to effectively establish task priorities and delegate work.
  • Proven knowledge of planning methods.
