Summary

Reporting to the Senior Vice President for Planning & Administration, the Director of Auxiliary Services will be responsible for overseeing the day-to-day operations of, financial and administrative management of, and help establish and direct the long-term goals, policies, and procedures for CCAD's Auxiliary Service areas. These areas include: campus food service and retail outlets (Crane Cafe, CCAD Supply Store, and Ampersand Emporium), college events, campus parking and mobility, and the business operations of student housing.

 

CCAD Auxiliary Services provides a variety of services to support campus life for students, staff, alumni, and guests of the college and is a new college department. Through entrepreneurial leadership, the director will strive to ensure quality services, operations, and stewardship of resources in support of a dynamic campus experience.

 

ESSENTIAL FUNCTIONS and RESPONSIBILITIES

General

  • Prepare, control, and monitor budgets and operations of the Crane Cafe, CCAD Supply Store, and Ampersand Emporium in partnership with third party vendors and other college colleagues;
  • Responsible for the provision of services both directly and indirectly to students, faculty, staff, and the CCAD community as related to areas of responsibility;
  • Develop RFPs; prepare five year plans using budget analysis, forecasting and accompanying narratives;
  • Supervise retail and events staff, develop ongoing staffing plan with attention to growth;
  • Conceptualize, develop, and implement programs to foster staff training and development;
  • Assist in the development of long-range plans and implementation of continuous improvement in the services provided;
  • Assume leadership in resolving day-to-day operational, management, and customer service issues;
  • Coordinate with third-party partners on operational issues;
  • Manage related vendor contracts, to include contract management, scheduling, coordination.

Campus Parking and Mobility

  • Ensure all parking and transportation operations on campus strive for the best parking experience for students, faculty, staff, and visitors; Partner with CCAD Safety & Security on monitoring and use;
  • Establish use and utilization tracking, identify trends, and make recommendations based on findings;
  • Liaise with COTA and Smart Columbus on behalf of the college;
  • With support and collaboration from other college areas, steward parking agreements and relationships with community partners;

Campus Retail and Food Service Operations

  • Provide supervision and support to college retail staff; provide an environment focused on customer service and teamwork;
  • Prepare, control, and monitor budgets and operations for the CCAD Supply Store, monitor budgets and operations of third-party food service vendor;
  • Identify entrepreneurial opportunities for continuous business development, process improvement, and operating margin growth;
  • In partnership with Academic Affairs and Student Affairs, develop outreach and engagement strategies that improve program and service awareness and ensures effective communication regarding the value, benefits, and key information about Auxiliary Services functions;
  • Maintain awareness with national industry standards and best practices; ensure professional merchandising, establish policies and procedures, and follow pricing and margin guidelines established by the National Association of College Stores;
  • Establish customer service principles and hospitality standards.

Campus Events

  • Review and revise, as needed, the college's events processes and procedures with an eye toward efficiency. Provides decision-making framework for large scale events;
  • Coordinate with Facilities, Safety & Security, and Events Manager as necessary for event success.

 

SUPERVISORY RESPONSIBILITIES

Directly supervise the Events Manager and Retail Manager. Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

 

QUALIFICATIONS

  • Strong commitment to customer service is required;
  • Strong interpersonal and communication skills and the ability to work with a diverse group of individuals is required;
  • Ability to successfully engage and interact with a variety of stakeholders including and not limited to students, faculty, staff, trustees, vendors, and contractors;
  • Ability to plan and handle multiple tasks with keen attention to detail and the ability to identify and resolve problems in an appropriate and timely manner.
  • Ability to plan and prepare budgets and to track financial performance required. Ability to negotiate and manage contracts with outside vendors.
  • Proficiency in MS Excel and experience in ERP systems.

 

EDUCATION and/or EXPERIENCE

  • Successful candidates must have a minimum of a bachelor's degree in business or a related field; additional education preferred.
  • A minimum of five (5) years progressive experience in managing auxiliary operations or a related entrepreneurial setting.

Three (3) years of supervisory experience is required. Ten years of complex management experience is preferred.

  • Direct working knowledge of campus auxiliary programs including campus store operations, contracted services, vending services, and transportation/parking services operations is strongly preferred.

 

PHYSICAL DEMANDS

  • Regularly required to sit and talk or hear.
  • Frequently required to finger, handle, or feel and reach with hands and arms.
  • Occasionally required to stand: walk: and stoop, kneel, crouch, or crawl.
  • Must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Some travel may be required.

 

WORK ENVIRONMENT

  • The noise level in the work environment is usually moderate.
