SUMMARY

The Visit Coordinator serves as the first contact for prospective students interested in CCAD by facilitating the campus visit experience from initial inquiry to the completion of the visit experience. As a core member of the Enrollment Management team, working in a fast-paced environment, the Campus Visit Coordinator's primary responsibility is providing excellent service through the delivery of customized visit experiences, supporting the recruitment efforts of the college. This role manages the student ambassador tour guide program, in addition to email and phone inquiries to Admissions and the CCAD Welcome Center, while performing additional clerical duties including data entry.



ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the primary person responsible for scheduling and executing individual and group campus visit experiences for undergraduate and graduate students
  • Serves as the primary point of contact for prospective students and families while on campus
  • Develop and maintain documentation of processes, implementation, and data of visit experiences (maintain accurate Slate records and reports)
  • Manage the student ambassador tour guide program (hiring, training, and scheduling)
  • Manage campus visit website pages for accuracy of information and ease of use
  • Maintain and monitor the availability of campus visits and coordinate with the Admission Counseling team for coverage and delivery
  • Collaborate with faculty and other campus partners to arrange appointments
  • Communicate with prospective families to assess visitors needs in an effort to develop and deliver a personalized and comprehensive visit itinerary
  • Manage the CCAD Welcome Center lobby environment - consistently friendly, inviting and organized
  • Assist with inventory, mailings, data entry, and other projects as assigned by the Enrollment leadership
  • Performs other duties as assigned.





ADDITIONAL RESPONSIBILITIES

Oversee student ambassadors in the Admissions department including hiring, task assignment, check-ins, timesheets, scheduling, etc. Advise and collaborate with the Director of Admissions regarding any disciplinary matters with student ambassadors.


REQUIRED QUALIFICATIONS:

  • Ability to effectively communicate with a diverse population.
  • Highly self-motivated and directed with keen attention to detail and strong analytical and problem-solving skills.
  • Possess strong interpersonal skills and be effective in oral, written and electronic communications.
  • Ability to learn multiple software tools to perform duties, and ability to adapt to new software tools as they are implemented by Admissions and Marketing (preferably Slate experience)
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Proficient with Microsoft Office Suite (Word, Excel, and PowerPoint) and Google Suite.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Occasional weekend and evening availability is required in accordance with enrollment events (ex: Open House, Admitted Students Day, Saturday

EDUCATION and/or EXPERIENCE

  • Bachelor's degree required
  • 1 – 2 years of customer service, operations or higher education experience preferred

PHYSICAL DEMANDS

  • The employee is regularly required to sit and talk or hear.
  • The employee frequently is required to finger, handle, or feel and reach with hands and arms.
  • The employee is occasionally required to stand, walk, and stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.

  • The noise level in the work environment is moderate.
  • The pace of the work environment is moderate to fast.



COMPENSATION: This position is full-time, non-exempt. Compensation is commensurate on experience and qualifications. CCAD offers a benefits package including: vacation time, additional paid time off while the college is closed during winter break, sick time accrual, health and dental insurance, life and disability insurance, 403B retirement contribution, tuition remission, free campus parking, and free admission to the Columbus Museum of Art.
