SUMMARY

The Campus Experience Coordinator (CEC) is responsible for the planning and implementation of admissions visit programs, and facilitating the campus visit experience from initial inquiry to the completion of the visit experience for individuals and groups. This role manages email and phone inquiries to Admissions and the CCAD Welcome Center, while performing additional clerical duties including data entry. The CEC is also responsible for managing the CCAD student ambassador program, as well as answering and directing inbound calls to the visitor center phone line. As a core member of the Enrollment Management team, working in a fast-paced environment, the CEC's primary responsibility is providing excellent service through the delivery of customized visit experiences, supporting the recruitment efforts of the college.

Due to the nature of this role, the work mode will be in-person with no flexibility for a hybrid option.

Essential duties and responsibilities include but are not limited to the following:

  • This role is responsible for coordinating all individual campus visits; and is responsible for the planning and implementation of enrollment events at CCAD
  • Schedule all aspects of individual visits, including admission meetings, faculty meetings, classroom visits, ambassador tours, and meals in the dining hall
  • Maintain visit scheduling platforms for internal and external use
  • Provide visit information to students and college staff members using printed itineraries, reports, and calendars
  • Makes confirmation phone calls for individual and program visits
  • Create visit agendas and maintain scheduling forms through Acuity Scheduling and Salesforce
  • Works with faculty to support the customization of campus visits and tours
  • Support program events with registration, tracking, room scheduling, and printing needs
  • Provide periodic reports to staff on visits and evaluations

Admissions Events:

  • Plan, organize, and execute on-campus events such as Open Houses, Information Sessions, Admitted Student Days, and other recruitment-related events
  • Collaborate with the admissions team, faculty, staff, and student organizations to ensure events align with the college's mission and strategic goals
  • Coordinate logistics for events, including event space reservations, catering, promotional materials, registration processes, and staffing needs
  • Create and maintain event timelines and checklists, ensuring that all aspects of event execution are covered
  • Communication and Marketing
  • Contribute to the development of event marketing materials, including email invitations, brochures, social media content, and website updates
  • Promote visits and events through direct communication with prospective students, high school counselors, and other relevant stakeholders
  • Utilize data from event feedback surveys and other sources to assess the effectiveness of visit and event programs and make recommendations for improvement

Collaboration and Relationship Building:

  • Cultivate positive relationships with prospective students, families, and high school counselors to build lasting impressions of CCAD
  • Engage with faculty, staff, and current students to enhance the visit and event experience, ensuring a comprehensive and authentic representation of the CCAD community

Administrative Support:

  • Maintain accurate records of visitor attendance and event participation, utilizing the admissions database and CRM system
  • Provide administrative support for the Admissions office as needed, including answering phone calls, responding to emails, and assisting with the organization of recruitment materials
  • Stay up-to-date on university programs, services, and campus current events to ensure informed and accurate presentations during campus visits and events
  • Maintain current knowledge of CCAD admissions policies and deadlines
  • Flexibility to work evenings and weekends as required for events and campus visits
  • Occasional travel for off-campus recruitment events may be required
  • Basic budget tracking of ambassador program expenditures

Supervisory Responsibilities

This position will supervise student ambassador employees and oversee campus tour visits.

Qualifications

  • Exceptional organizational skills and attention to detail, and strong customer service abilities
  • Good problem solving skills
  • Ability to prioritize tasks, and flexibility to handle multiple responsibilities
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Proficiency with office software (Microsoft Office Suite, Google Suite) and event management software
  • Ability to work evenings and weekends as needed for events
  • Enthusiastic, professional, and personable demeanor when interacting with students, parents, and university staff

Education and/or Experience

  • Bachelor's degree required
  • Experience working in higher education admissions and/or event planning are a plus
  • 1 – 3 years of customer service experience

  • The employee is occasionally required to stand, walk, and stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus.
