Summary

The Associate Vice President for Operations will collaborate with Columbus College of Art & Design's senior academic and administrative leadership to create and maintain an environment that enables the college's students, faculty, and staff to fulfill the educational mission of CCAD.  The Associate Vice President will provide leadership; facilities, operations, and capital projects expertise; and stewardship of CCAD's physical plant, operational teams, and related budgets. This position reports to the Senior Vice President for Administration & Planning.

 

Essential Functions include but are not limited to the following:

Leadership/Supervision

  • Provide leadership and supervision to the following areas: capital projects, Facilities, Mailroom, Special Projects, and Safety & Security through communication, planning, and data analysis.
  • Work closely with other departments and senior leadership to implement strategic initiatives.
  • Lead by example in treating others with respect, empowering employees, ensuring teams provide excellent customer service, being proactive and innovative, using data analysis to support decision-making, and being a strong team player.
  • Support the professional development and training needs of staff.
  • Foster an inclusive and diverse organizational culture. Promotes diversity, equity, and inclusion in all phases of work.

Communication and Collaboration

  • Work cooperatively and collaboratively with other campus offices and departments, faculty, and staff.
  • Develop and maintain effective and close, interdependent, and complimentary working relationships with internal and external service providers.
  • Lead an organization with a strong focus on responsiveness, transparency, and communication.
  • Consult on an on-going basis with campus constituents to identify needs and services and explore opportunities for operational improvement.
  • Ensure effective consultation with appropriate campus constituencies in the development and implementation of policies, procedures, and projects.

Planning/Project Management/Budget

  • Supervise and participate in the development of RFPs, bids, contracts, and proposals for construction and facilities-related services. Negotiate and administer contracts with outside vendors, architects, designers, and others.
  • Act as the liaison with local and state approval and permitting agencies as it relates to facilities. Serve as primary contact to the internal and external community on capital projects and construction.
  • Plan, direct, oversee, and participate in the development of all construction projects and facilities services operations.
  • Responsible for the management of financial and material resources. Develop and controls departmental budgets.
  • In collaboration with other senior leaders, lead and direct the strategic, operational, and developmental planning for all campus facilities in support the mission of CCAD. Provide critical thinking to the leadership conversation in the capital investment in the physical plant, be it normal maintenance, repair/repurposing of facilities, new construction, demolition of antiquated facilities unworthy of further investment.

Facilities and Plant Operations

  • Supervise and support the facilities team in the maintenance of the physical plant and grounds, including all buildings, repairs, minor remodeling, energy conservation and management systems, and custodial services.
  • Lead the effort of putting solutions in place to address the campus' deferred maintenance backlog.
  • Provide leadership and act as an advocate for campus sustainability, employ working knowledge of current sustainability standards.

Safety & Security

  • Lead organizational efforts to improve workplace, classroom, and studio safety.
  • Oversee the implementation of programs to create a safe working environment, promote environmentally sound practices, and foster regulatory compliance. Ensure safety training, hazard identification and risk assessment, accident investigation, hazardous material management, fire protection and life safety code compliance, and emergency response.
  • Oversee college safety systems contracts, testing and certifications/inspections including, but not limited to: fire alarms, fire suppression systems (hoses, extinguishers, etc.), elevator safety systems, as well as college emergency equipment, supplies, and resources.
  • Oversee and monitor the college's compliance response to all applicable federal, state, and local code and regulatory statutes pertaining to building and fire code requirements.
  • Other duties as assigned

Supervisory Responsibilities

Areas reporting to this position include Facilities, Mailroom, Special Projects, and Safety & Security.

Required Qualifications

  • 10 years of combined progressively responsible management experience in facilities operations and management and/or design and construction. Experience must include supervision and personnel management.
  • Demonstrated ability to develop constructive and cooperative working relationships and build mutual trust and respect with managers and professionals across the institution, and as a representative of the college to outside constituencies, and maintain them over time.
  • Exceptional judgment, a reputation for integrity and discretion, and demonstrated ability to think strategically and deliver tactically. Extensive ability to identify key issues in complex situations, evaluate options and initiate strategies for resolution.
  • Ability to translate long-term strategies into day-to-day operations, with demonstrated experience aligning resources with goals in an environment of competitive demands and resources.

Education and/or Experience

  • Bachelor degree in engineering, architecture, urban planning, construction management, business management, or a closely related field required. Advanced degree is preferred.
  • Professional registration as an engineer or architect, or certification from BOMA, IFMA, USGBC, or APPA is preferred.
  • Knowledge of LEED standards and/or LEED certification is preferred.
  • Equivalent combination of relevant education and experience may be substituted as appropriate.
  • Experience in a higher education environment or an art or design institution preferred.

Physical Demands

  • The employee is regularly required to sit and talk or hear.
  • The employee frequently is required to finger, handle, or feel and reach with hands and arms.
  • The employee is occasionally required to stand: walk: and stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Occasional travel may be required.

Work Environment

  • The employee is occasionally exposed to outside weather conditions.
  • The noise level in the work environment is usually quiet to moderate.
