Columbus College of Art & Design is seeking applications for the position of Assistant Bursar/ Student Services Associate. The Assistant Bursar/ Student Services Associate supports the office of the One Stop Student Services by assisting with its administrative, clerical and scheduling needs.  This position also participates in general office operations and facilitates effective communication between all departments of the college, and participates in Student Services projects as assigned.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

This position is a key role in student services administration. Assistant Bursar/ Student Services Associate is expected to maintain a spirit of professionalism, diplomacy and tact. This position may require the need to be available to occasionally work evenings or weekends.  While other duties may be assigned, in general, this position is involved in these areas:

 

Service:

  • Provide all facets of general customer service coverage, including
  • Assist in supporting student success and retention efforts
  • Answering office-related phones and email
  • Assistance in developing and communicating academic degree plans
  • Assistance in preparation and delivery of communication materials
  • Assistance in registration processes and data entry into PowerCampus
  • Assistance Student Services Department Heads as needed
  • Management of problems, concerns or situations with students and parents
  • Providing Student Services-related information to students and parents
  • Response to emails from the web feedback accounts

 

Records:

  • Maintains records as necessary, including:
  • Assistance with degree requirement audits
  • Assistance with Grade Entry, class rosters, student reviews, midterm grade mailers, distribution reports
  • Assistance with graduation processing, including audits and verification
  • Collection and maintenance, as required, hard and electronic files
  • Data entry and processing of administrative forms
  • Processing academic rosters and other reports as needed
  • Processing HECC and Transient students forms
  • Processing official and unofficial student grade transcript requests
  • Processing student enrollment verifications and address verifications
  • Processing transfer credit
  • Updating and maintenance of accounts, including running periodic data clean-up reports to provide student data integrity

 

Operations:

  • Assist other areas with the coordination and operations of the Student Services Office, including:
  • Acting as back up for Directors and the Bursar
  • Follow up on Bursar office phone inquiries and messages
  • Assistance for department heads in coordination and operations of the Student Services Office
  • Assistance in support programs for the student
  • Coordination of staff to insure sufficient office coverage
  • Providing cross-training for new Student Services Associates

 

Financial:

  • Counsel students on paying and completing promissory notes & financial extensions, including:
  • Posting charges to students' accounts as directed
  • Analysis of student accounts, payment plan setup, and monitoring of both to make sure payment plan is being followed
  • Responsibility for accounting and internal collections of student accounts with concentration on current and former student past-due balances
  • Reconciliation of monthly TMS payments
  • Assistance to the Bursar with internal collections of students accounts with concentration on current and former past due balances
  • Coordination and processing of deposits from other departments (ie. Admissions, Library, Continuing Education)
  • Coordination, printing and mailing of bills to students
  • Maintaining communication to students as necessary in order to update their accounts
  • Running credit balance reports and prepares student refund paperwork for processing by Bursar
  • Management of daily operations of collecting student fees, balancing daily deposits, and dating input of student receipts in the computer system
  • Working with Tuition Management Systems to coordinate payment plan program
  • Assistance to students and families regarding financial aid opportunities and other general questions
  • Assistance to the Bursar with Perkins Loan duties such as exit interviews and answering student questions
  • Assistance with Veteran Benefits
  • Consultation with families regarding financial aid concerns and application process and completion of necessary paperwork necessary to complete payments arrangements on any outstanding account balance
  • Monitors in school/out of school collections

 

Qualifications:

Candidates should possess a Bachelor's degree and 5-7 years of related experience and/or training; or equivalent combination of education and experience in collection, accounting and cashier experience preferred. Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Access and Windows; working knowledge of Ellucian PowerCAMPUS and PowerFAIDS is preferred. Excellent customer service skills are a must.
