Admissions Communications Coordinator

Columbus College of Art & Design is seeking an Admissions Communications Coordinator. The Admissions Communication Coordinator reports to the Director of Operations, Admissions and is responsible for assisting and supporting the communication and operation needs of the Enrollment Division. This position develops a communication plan for prospective student recruitment, and outreach for educators and counselors. This position focuses on email marketing, text communications, secondary print materials, and events communications.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

  • Collaborate with Marketing Department in the creation, coordination, and implementation of assigned Admissions-related prospective student communications, and teacher/counselor communications.
  • Collaborate with Marketing Department in the creation of email templates within the Admissions Customer Relationship Management (CRM) software and other online email services such as MailChimp.
  • Create, schedule and execute transactional, confirmation-oriented, and event email communications using online email services such as MailChimp and Admissions CRM software, and project management software.
  • Write copy for assigned communications projects; coordinate review and approval of copy with Marketing for adherence to style, voice, branding, and guidelines.
  • Create segmented and targeted email lists for all communications campaigns using Admissions CRM software.
  • Act as trusted resource for Admissions Operations and Marketing in the use of Admissions CRM in the creation of email campaigns, mail list development, and other Operations functionality.
  • Develop schedules for assigned communications campaigns, and ensure Admissions CRM is properly set for automation of communications.
  • Ensure assigned communications campaigns remain on schedule by working cooperatively with others who may be responsible for elements of the campaigns.
  • Assist in the development of primary printed recruitment materials by performing proofreading, writing copy, and identifying imagery in collaboration with Marketing.
  • Assist in the creation of secondary printed recruitment materials such as postcards, flyers and posters by performing proofreading, writing copy, and identifying imagery in collaboration with Marketing.    
  • Develop reports in Admissions CRM as requested for ad hoc queries of data to review communications effectiveness.
  • Plan, schedule, and write copy for assigned texting campaigns targeted at prospective students using Texting software.
  • Ensure student data within Texting software is correct and remains accurate as students proceed though recruitment cycle.
  • Serves as an administrator in the Texting software and works with vendor to ensure software remains updated and functional for each Admissions cycle.
  • Responsible for regular review of designated Admissions and Financial Aid web pages, and the timely request of updates to those pages to maintain accuracy.
  • Act as the Admissions point of contact between Admissions and Marketing for schedule and next steps throughout the development timeline of primary printed recruitment materials. Ensure Admissions remains on schedule for its tasks within Marketing's overall communications timeline, and use Admissions and/or Marketing's standard project management software to accomplish this.
  • Identify innovative ideas and industry trends regarding prospective student communications and make recommendations.
  • Coordinate preparation/mailing of printed materials with external mailing houses and USPS, such as viewbooks, brochures, packages, and postcards.
  • Track printed publications suite materials (publication piece, quantities ordered, cost, dates, invoices, etc.)
  • Track email and text campaigns (subject, audience, date, tool used, etc.)
  • Documents processes related to communications and the tools used for outreach.
  • Collects and track feedback from on-campus and off-campus events and initiatives.
  • Ensures that all copy written for assigned campaigns follows the college's writing style guide, and conform to AP style.
  • Provide occasional support of Financial Aid communications campaigns.

ADDITIONAL JOB FUNCTIONS:

  • Contribute to Admissions Operations team during peak times which may include tasks such as but not limited to covering phones, performing data entry of student information, application processing, etc.
  • Acts as a back up to other team members in their absence
  • Assists Vice President for Enrollment Management with special projects
  • Assist with on-campus Admissions recruitment events.
  • Other duties as assigned by the VPEM and/or Director of Operations.
  • May require occasional work in evenings, or on weekends to support events and application processing cycle.

 

REQUIRED QUALIFICATIONS:

  • Bachelors' degree
  • 1 to 3 years' experience
  • Ability to effectively communicate with a diverse population.
  • Experience with e-marketing and utilizing data analytics.
  • Highly self-motivated and directed with keen attention to detail and strong analytical and problem-solving skills.
  • Possess strong interpersonal skills and be effective in oral, written and electronic communications.
  • Ability to learn multiple software tools to perform duties, and ability to adapt to new software tools as they are implemented by Admissions and Marketing.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Proficient with Microsoft Office Suite (Word, Excel and PowerPoint).
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Occasional weekend and evening availability required.

 

PREFERRED QUALIFICATIONS:

  • Bachelors' degree in Marketing or Visual Arts
  • Prior work experience in a college campus environment
  • Experience in higher education marketing and technology, preferably in an admissions-related capacity
  • Knowledge of digital photography and photo editing software, as well as graphic design software.
  • Experience with CRM/database software and ability to retrieve accurate data and create ad hoc queries
  • Familiar with AP style.
  • General knowledge of HTML

 

PHYSICAL REQUIREMENTS (When applicable):

  • Ability to work at a desk for extended periods of time
  • Must be able to set up for events
  • Must be able to lift 25 pounds
