Administrative Assistant to the Vice President for Advancement

Columbus College of Art & Design, awarded A Top 10 Workplace from CEO magazine, is seeking applications for the position of The Administrative Assistant to the Vice President for Advancement. The Administrative Assistant to the Vice President for Advancement reports to the VP for Advancement and has a dotted line to the Executive Assistant to the President. The Administrative Assistant will spend 75% of their time assisting and supporting the VP for Advancement and handling some of the general administrative needs of the Advancement Office as assigned by the VP for Advancement. The Administrative Assistant will spend 25% of their time supporting the President's Office by assisting the Executive Assistant to the President with managing the Board of Trustee Meetings.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

Assistance to the VP for Advancement and the Advancement Office

  • Manage calendar and travel arrangements for the VP for Advancement
  • Organize and confirm meeting schedules for Advancement Office as needed by the VP for Advancement
  • Schedule, prepare agendas and supplemental materials for, record minutes and action items for, and communicate about any meetings or workshops the VP for Advancement is overseeing
  • Research, retrieve, collect, organize and prepare information for presentations and briefings as needed using word processing, spreadsheet, database, or presentation software
  • Enter actions into Raiser's Edge Database for the VP for Advancement and the President
  • Update contact information in the individual records in Raiser's Edge as needed
  • Assist with thank you notes as follow ups for meetings with donors and friends of CCAD
  • Prepare VP's reimbursement and credit card reports for approval by the President, and assist VP with documents needing their signature and approval
  • Track budgets for Advancement Office and affiliated programs
  • Enter and update Advancement Projects in Asana as requested by the VP
  • Perform general clerical duties including data entry, letter writing, photocopying, and mailing for the VP for Advancement and for the Advancement Office as assigned by the VP
  • Order office supplies for the Advancement Office and coordinate supply and maintenance of office equipment/technology
  • As assigned by the VP, provide occasional support for the Events Team to coordinate logistics for meetings and events and provide day-of event support for major Advancement events
  • Handle special projects as requested including assisting development team as needed
  • Other duties as assigned

Assistance to the Executive Assistant to the President and the President's Office

  • Prepare minutes of board meetings for the permanent record, including full board and standing committees
  • Assemble board meeting materials and assist with meeting room set-up
  • Assist with updating board records, including trustee contact lists, committee assignments, and appointment/term schedules
  • File digital documents on the board portal and print copies in the permanent files
  • Assist with other board-related tasks

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience

  • Associates degree required; Bachelor's degree preferred
  • 3 years office administrative support experience required; in a higher education environment preferred
  • Knowledge of operation of standard office equipment
  • Knowledge of clerical/administrative procedures such as filing, record keeping, business correspondence, and scheduling
